Keep tenant communication in one place, with a record of everything you sent.

Messages

Messages → New message starts a conversation with a tenant. They get it in the tenant portal and by email, and by text if they've turned texts on, and can reply from the portal. Tenants can also start a conversation from Messages in their portal. Unread conversations show a count next to Messages in the sidebar.

Repairs belong in Maintenance, so they're tracked with photos and status. Use messages for everything else: questions, parking, move-in details.

Announcements

Messages → Announcements sends one message to every tenant with an active lease at a property, or at all your properties. Use it for water shut-offs, pest treatments or parking-lot work. Announcements go out by email (and text, if you choose) and appear on tenants' portal home page for 90 days.

Formal notices

On a lease, open Notices → Send a notice and choose a template:

  • Rent increase: new rent and effective date.
  • Notice of entry: date, time window and reason.
  • Lease violation: what's wrong and how many days to fix it.
  • Pay rent or quit: the amount past due (defaults to the lease balance) and days to pay.
  • General notice: your own wording.

Preview the filled-in notice, edit the wording if needed, and send. The notice is saved as a PDF on the lease, shared in the tenant portal, emailed with the PDF attached and optionally texted. You can see when the tenant opened it in the portal.

Notice rules (how much warning, exact wording, and whether it must be handed over or mailed) vary by state and city. Check your local requirements, especially for pay-or-quit notices.

Text messages (SMS)

Tenants turn texts on themselves in the portal (Messages → Text messages), agreeing to receive them. Replying STOP turns texts off, and tenants' text replies arrive in their conversation. Texts are sent through Twilio once you add Twilio to Proppros (see the setup guide). Until then, texts are only logged.

Move-out notices and renter's insurance

Tenants can give move-out notice from their lease page in the portal. You'll see a banner on the lease; Acknowledge confirms it to the tenant and can set the lease end date.

Tenants upload renter's insurance with its expiry date. The lease page shows each tenant's insurance status, and tenants get a reminder 14 days before it expires.
